Procedure to set up a direct video conference with Tracewell Systems 

Contact Tracewell Systems Video Contact with answers to the following questions:

• How many channels? (phone lines)

• What is the available bandwidth?

• What is the main video phone number?

• Who is the video contact?

• What is the contact phone number?

• When will the conference call take place?

• Who will initiate the call?

• What brand of equipment?

Tracewell Systems is a certified video site for Kinko’s Video Conferencing.

Kinko’s has an exclusive contract with Sprint to provide the network support for video conferencing. ALL reservations for video conferencing for Sprint/Kinko’s must be setup through Sprint by the Tracewell Systems video contact. Walk-in requests for immediate sessions for video conferencing at Kinko’s are NOT possible. Kinko’s requests a 24 hour advance reservation for a video conference.

Here is the basic procedure to setup a video conference call with Tracewell Systems and a Sprint/Kinko’s location.

• The meeting organizer must decide which Kinko’s location and the start and end times for the video conference.
• The meeting organizer will call the Tracewell Systems video contact with the following information:

                   The desired Kinko’s location, address etc.

                   The desired start time for the video conference.

                   The desired end time for the video conference.

• The Tracewell Systems video contact will call Sprint to check room availability and get a confirmation number for the designated Kinko’s location.
• The Tracewell Systems video contact will call or FAX confirmation info to the meeting organizer
• The meeting organizer will need to have the confirmation number at the time of arrival at Kinko’s.

Plan to arrive at Kinko’s approximately 20 minutes prior to the start time for training and setup.
